Terms last updated on October 20, 2026 — Effective as of this date.
1. What the Registration Fee Includes
The registration fee entitles the registered participant to:
- Access to the congress venue during the congress;
- Attendance at all lectures, scientific sessions and associated events listed in the official congress programme;
- The food and beverages provided by the organiser as part of the congress programme (such as coffee breaks, lunches and receptions as indicated in the programme).
Anything not expressly listed above is not included. In particular, this covers travel, accommodation, and any food or beverages ordered or consumed outside the catering provided by the organiser.
2. Admission and Conduct
The organiser may refuse access to the congress, or to any associated event, or remove a participant from it, if it reasonably considers that participant’s conduct inappropriate. This includes behaviour that disrupts the congress, harasses or endangers other persons, damages property, or breaches the venue rules or applicable law. The organiser is not required to give any further explanation. In such a case, the participant has no right to a refund of the registration fee or to any other compensation.
3. Insurance and Force Majeure
The organiser has taken out civil liability & cancellation insurance for the congress.
The organiser cannot be held liable for the cancellation, postponement or interruption of the congress, or for any other damage or inconvenience, caused by force majeure. Force majeure means circumstances beyond the organiser’s control that it could not reasonably foresee or avoid. Examples include natural disasters, extreme weather, epidemics, government measures, strikes, security threats and the unavailability of the venue. This exclusion does not apply to the extent that the damage is covered by the organiser’s insurance.
Costs incurred by participants, such as travel and accommodation, will not be reimbursed in that case. Participants are advised to take out their own travel and cancellation insurance.
- [A] If the congress is cancelled due to force majeure, the organiser will refund the registration fee, minus costs already incurred that cannot be recovered.
- [B] If the congress is postponed due to force majeure, the registration remains valid for the new date. Participants who cannot attend on the new date will be refunded according to option A.
4. Liability & Applicable Law
Mandatory Liability: Nothing in these terms excludes or limits the organiser’s liability for intentional fault, whether its own or that of persons for whom it is responsible. Nor does it exclude or limit liability for damage to the life or physical integrity of any person, or any other liability that cannot be excluded or limited under applicable law.
Applicable Law and Jurisdiction: These terms are governed by Belgian law. Any dispute falls within the jurisdiction of the courts of Ghent, Eastern-Flanders, Belgium. This does not affect mandatory rules on jurisdiction that protect consumers.
5. Cancellation by the Participant
Cancellations must be sent in writing to prem@uzgent.be. The date the organiser receives the cancellation is the date that counts.
- Within 14 days after registration: the registration fee is refunded in full. This does not apply if the cancellation is received less than 60 days before the start of the congress.
- After that, up to and including 29/02/2028: the registration fee is refunded, minus an administration fee of €150.
- After 29/02/2028, or if the participant does not attend: no refund is given. The participant can still name a substitute under clause 6.
Refunds are made within 30 days after the cancellation is received, using the original payment method. There is no refund if a participant attends only part of the congress.
6. Substitution
A registered participant who cannot attend may transfer the registration to another person. This is subject to an administration fee of €50. The organiser must receive the substitute’s full details in writing no later than 15/05/2028. After that date, a substitution is only possible with the organiser’s prior agreement.
If the substitute falls into a higher fee category, the difference must be paid before the congress. If the substitute falls into a lower category, no difference is refunded. The substitute is bound by these terms.
The badge, the certificate of attendance and any continuing education credits are issued only in the name of the person who actually attends. Badges are personal and may not be passed on or shared during the congress.
7. Photographs, Video and Recordings
The organiser, or photographers and film crews working on its behalf, will take photographs and video recordings during the congress and associated events.
- General images: this means overview shots and images of sessions in which participants are not the specific focus. The organiser may use them to report on the congress and to promote this and future editions, on its website, on social media, in newsletters and in printed material. The legal basis is the organiser’s legitimate interest.
- Right to object: participants may object at any time, by e-mail to prem@uzgent.be or at the registration desk. The organiser will then, as far as reasonably possible, stop using and remove images in which they can be recognised.
- Close-ups: images that focus on an individual participant are only published with that participant’s separate consent. That consent can be withdrawn at any time.
Participants may not photograph, film or record lectures or slides that contain confidential patient information without prior permission from the organiser and the speaker concerned.
