02. Cookieless Tracking
We believe in keeping our radar clean. This website uses cookieless tracking. What does this mean for you?
- We do not use invasive cookies to track your personal behavior across the web.
- We do not store personal data on your device for marketing purposes.
- We only collect basic, aggregated, and anonymized statistics (such as visitor counts) to ensure our broadcast reaches the crew successfully.
03. Ticketing & Third Parties
To secure your frequency and buy tickets, we use a third-party platform called Ticket Tailor.
- When you load the ticketing widget and register, your IP address, ticketing process, and payment are securely handled by Ticket Tailor under a data processing agreement.
- We do not store your credit card or financial details on our own servers.
- Our website is hosted securely using Cloudflare as a CDN, which temporarily processes IP data solely to protect against malicious bots and network attacks.
04. Personal Data Processing
The organiser, as defined above, is the controller of the personal data provided at registration. This covers identification and contact details, professional details, payment and invoicing details, and attendance data. The organiser processes these data for the following purposes:
- Handling registration, payment and invoicing, and organising the congress (performance of the contract);
- Meeting legal obligations, such as accounting and tax rules (legal obligation);
- Recording attendance and passing it to accreditation bodies to award continuing education credits, if the participant requests accreditation (performance of the contract);
- Informing participants about future editions of the congress (legitimate interest). Every message includes an option to unsubscribe.
Some dietary requirements or accessibility needs reveal health information. These are processed only with the participant’s explicit consent, used only to arrange catering and access, and deleted after the congress.
The organiser shares personal data only with:
- Service providers acting on its behalf, such as the registration platform, payment provider, venue and caterer, under a data processing agreement;
- Accreditation bodies;
- Authorities, where the law requires it.
Contact details are not shared with sponsors or exhibitors without the participant’s consent. If a participant lets an exhibitor scan their badge, that exhibitor receives their contact details and becomes responsible for them. Data are transferred outside the European Economic Area only with the safeguards required by the GDPR.
Personal data are kept no longer than these purposes require. Invoicing data are kept for as long as accounting law requires.
05. Your Rights under GDPR
Participants have the right to access, rectify and erase their data, to restrict or object to processing, to data portability, and to withdraw consent at any time.
You can exercise these rights via prem@uzgent.be. You may also lodge a complaint with the Belgian Data Protection Authority.
